Organize work with tags

Updated July 14, 2026

Tags are shared labels your team can add to group and filter work. Minipa Link keeps two separate tag banks so media labels do not mix with project, work order, or checklist tags.

Entity tags (projects, work orders, checklists)

  • Apply to projects, work orders, and team checklists.
  • Not available on assets, measurements, or reports.

Add an entity tag

  1. Open a project, work order, or checklist.
  2. Find the Tags field and type a name.
  3. Pick an existing team tag from the list, or select Add "…" to create a new one.

New tags are created when you add them — there is no separate settings page, and tags do not have colors.

Remove an entity tag

Select the × on a tag chip. This removes it from that item only; the tag stays available for other records.

Filter a list by entity tag

  1. Open the Projects, Work orders, or Checklists list.
  2. In the filter bar, add a Tag filter and pick a value.
  3. To show tags in the grid, enable the Tags column under Column preferences.

Who can edit entity tags

  • Projects: any team member.
  • Work orders: the creator, owner, assignee, or a team owner/admin.
  • Checklists: team owners and admins.

On the mobile app (entity tags)

  1. Open a project or work order in the app.
  2. Tap the Tags field, then type a name or pick a suggested team tag.
  3. To remove a tag, tap the × on its chip.

On mobile, entity tags apply to projects and work orders only — not checklists.

Media tags (separate bank)

Media uses its own tag bank. Names you create for photos or videos do not appear in project, work order, or checklist filters, and the other way around.

Add a media tag (web)

  1. Open Media or an entity media gallery.
  2. Open a file preview and select Details.
  3. In Tags, type a name or pick from the media tag bank.

Filter the media library

  1. Open Media.
  2. In the filters row, open Tag and select one or more tags.
  3. The grid shows media that has any of the selected tags. Clear the selection to show all tags again.

On the mobile app (media tags)

Open a media item in the gallery viewer and edit tags from the details / tags controls. Changes sync with the web media bank.
